The Legal Bits
We know that this part is usually written in dry legal jargon (hope our lawyer doesn’t see this!). But we’d like to make this section of our website as straightforward and as enjoyable as possible while still covering everything that’s important.
If you have any questions or concerns with anything mentioned in this policy, you can send an email to our fabulous Data Protection Officer (DPO) at dpo@techscend.uk
Who Are We?
Was our website not clear enough?
We’re Techscend Ltd, trading as Techscend, your go-to IT Managed Services Provider. In terms of the law around data protection, and for the purposes of our website we’re the Data Controller (a bit like the fat controller, hat and all). It essentially means that we’re responsible for collecting and processing your data, whilst making sure it’s all done securely and fairly.
We’re fully committed to following the UK GDPR and all other relevant data protection laws. You can now rest easy knowing your data is in safe hands!
When you become a client of ours, we are deemed to be the Data Processor. This term refers to anyone who handles data under the instructions of another data controller (i.e. you, our customer).
What Data Are We Collecting (and Why)?
We collect your data for a few reasons, typically, this is to help us manage your accounts, provide IT Support and Services and to send you marketing updates and communications that we think are important and relevant to you.
The information that we might need from you includes:
- Your name, address, phone number and email address,
- Company name, address and contact details,
- Payment details (but don’t worry, we don’t store these ourselves – we’ll explain more in a second)
For payments, we use two, industry-leading, highly secure, third-party systems to process your details, so at no point will any of your payment details be stored by us.
In addition to these two systems, we also use an IT Service Management tool, to help us manage any service requests from our clients.
All of these systems, are well-established and internationally recognised businesses that have also demonstrated their security and data protection credentials time and time again. If you require information on which these systems are, please contact us directly (we don’t publish this information here, as they may be subject to change, and also could provide valuable intelligence to anyone wishing to do us harm!)
We only collect what is necessary to provide the services we offer. We don’t care if you prefer PG Tips over Yorkshire Tea… (well actually, this is important, as you must remember we’re a Yorkshire Business, 🙂).
Anyway, everything is processed securely within our systems to deliver our services to you (don’t worry, printers aren’t reliable and never work – so we don’t have your data on paper to run around with).
How Do We Collect Your Data?
Now that’s a really good question! We collect your data in the following ways:
- Directly from you via our website, contact forms, lead generation forms, phone calls, emails, proposal documents and onboarding documents,
- Automatically through cookies (more on the cookie monster later),
- From lead generation tools
- And from other tools we use, like our CRM – which is used to manage your account details.
Sharing Your Data (or Not)
We will never share your data with any third parties unless you’ve given us permission, or, we’re legally bound to (think court orders or tax audits).
Even if the fuzz comes knocking on our door, we’ll still let you know unless it’s against the law for us to do so.
Our payment processing is handled by the third-party providers we’ve mentioned.
How Long Do We Keep Your Data?
We’ll only keep your data for as long as it satisfies the purpose for which it was initially collected or otherwise processed. In addition, we’ll only keep hold of your data if we need to satisfy any legal requirements.
It goes without saying, that we’ll periodically check with you to ensure that you’re still happy for us to hold your data, and/or to ensure that the data we have for you is up to date.
Your Rights
Under the UK GDPR and DPA 2018, you have several rights that you are entitled to exercise at any time. These are:
- Access: Ask us what information we have about you,
- Correction: Tell us if something is wrong with your data and we’ll fix it,
- Erasure: Want us to forget you exist? We’ll do it unless we must retain that data for legal reasons,
- Opt-Out: Don’t want our marketing emails? No problem – unsubscribe from them at any time.
If you want to exercise any of your rights, just contact our Data Protection Officer at dpo@techscend.uk
We will not charge for any ‘Subject Access Requests’ unless you log multiple requests, or if the request seems to be excessive in nature – at which point, there may be a nominal charge which we will request to cover the administration (and teabags) of your request.
Keeping Your Data Safe
Your data is encrypted and is only accessible to those who need it (and only for providing services or marketing). We also conduct regular security checks to make sure that everything’s shipshape.
That said, nothing online is 100% hack-proof, but we’ll do everything humanly (and technically) possible to protect your information.
Right to Complain
You have the right to remain compliant… we mean complain. Yes, Karen – we’re looking at you.
Seriously though, if you have a complaint about any aspect of Data Protection which is concerning our services, or if you feel that we have breached your privacy (this would make us extremely sad), we would like to hear from you.
Not only do we want to resolve your complaint, but we love to learn, and we’d obviously want to make sure that whatever happened, never happens again.
Ten points if you can tell what’s coming (no, it’s not 0800 00 1066), you can contact our Data Protection Officer at dpo@techscend.uk
However, if you are unhappy with our response, you have the right to complain to the Supervisory Authority, the Information Commissioner’s Office (ICO). You can call the ICO on 0303 123 1113 or by visiting their website: https://www.ico.org.uk/
We have it on good authority that they’re a friendly and helpful bunch.
Cookies
We use cookies on our website. They are here to help us keep our website functional, track how people are using our website (hello, analytics!) and to show you relevant services.
We manage our cookie consent through ‘CookieBot’, and you can adjust your preferences at any time. Just click that little banner when you visit our site or check your browser settings if you want to turn cookies off altogether (though it will make our marketing team extremely grumpy, and who needs that).
Seriously though, cookies will make your experience on most websites better. But if you still wish to disable cookies, but are struggling to do it (turn it on and off again?) you can visit the ‘About Cookies’ website at https://www.AboutCookies.org/
Please note that if you delete or disable our cookies, you may not be able to access certain features of our website.
What About GDPR Compliance?
Yes, we comply with UK GDPR and all relevant UK Data Protection Laws. We take your privacy seriously and it’s our mission to protect your data like a fortress.
Links To Other Third-Party Websites
This Privacy Policy only applies to Techscend and we are not responsible for, and have no control over, information that is submitted to or collected by third parties, such as those to which our website may provide links. When we use third-party providers to provide the service to you, be assured we have done our due diligence on them, and only use those who satisfy us that they take security and data protection seriously.
However, in terms of their websites, as we do not control those websites, we simply can not confirm if they comply with the applicable Data Protection Regulations – sorry, we just can’t fix everything!
Updates To This Policy
Just like your PC, this policy may need a patch from time to time. This could be for a couple of reasons, such as changes to Government Regulations or the implementation of new technologies.
If we make changes, we will post them here, so please check back every now and then.
Got Questions Or Concerns?
If you’ve made it this far, well done. Here’s how you can contact us if you have any questions about our website or the information that we collect about you, and how it will be used.
Thank you for your interest. Have a safe and secure day.
